Site Survey
Regardless of the size of the event, a site survey is a critical part of the planning process for your event and can be crucial to heading off potentially costly on-site delays.
A typical site inspection should include:
- Evaluation of venue space as it relates to the anticipated requirements of the event
- Research into any in-house venue capabilities and exclusive contracts
- Research into venue rules and regulations
- Research into the rules of local fire, building and safety agencies
- Research into, and evaluation of, local vendors
CAD Drawings
APS will work with you, the venue and the vendors on the generation of floor plans for your event that can be used for;
-The review and approval process with local regulatory agencies
-Overview of all scenic, audio, video and lighting elements and space requirements.
-Evaluation of audience sightlines.
Budgeting
APS will work with you, the vendors and venue to make sure you get the most out of your meeting dollar.
Vendor Relations:
The importance of vendor coordination to the success of your event cannot be overstated. APS will assist in the supervision and coordination of all vendors, including, but not limited to:
- Audio
- Video
- Lighting
- Scenic
- Prompting
- Special Effects

- Lifts/ Heavy Equipment
Venue Coordination
Now more than ever, Hotels and Convention Centers are busy places and sometimes the details of your event can get lost in the shuffle. So you don’t have to worry, APS works with the venue to arrange and confirm:
- Event space availability
- Venue-supplied equipment and labor
- Electrical power requirements, tie-in, disconnect, and costing
- Internet and telephone requirements, tie-in, disconnect, and costing
- Crew food and beverage requirements, schedule and costing
- Special effects schedules, firewatch and costing
- Security schedules and costing
- Equipment delivery
- Trucking schedule and storage
Scheduling
Without an accurate on-site schedule, even the best plans are for naught. APS will work with you, the vendors and venue to put together a comprehensive on-site schedule that encompasses all install, rehearsal and show elements.
On-Site Production Management
This is where everything comes together. The weeks or months of planning, worrying, and sleepless nights. APS will be your on-site interface between the vendors and venue, managing the details of the install and prep of your event so you can focus on the most important part of any event, the audience.
